Development Assistant

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking a Development Assistant to support all of Signature’s fundraising efforts.

Position Summary

Reporting to the Director of Individual Giving and Planning, this entry-level position serves as the primary point person for the delivery of donor services and is responsible for assisting fundraising activities throughout the year.

Responsibilities:

  • Staff the Patron Hotline and email inbox, which includes processing ticket orders and exchanges for Patrons and other funders as well as responding to all email inquiries
  • Provide support for telefunding operations for the Individual Giving Department
  • Maintain accurate records of donor and organization profiles and solicitation plans through regular upkeep of donor database (Tessitura)
  • Provide support and attend Development related activities and events, receptions, opening nights, cultivation dinners, and annual gala
  • Responsible for event attendee research and ongoing prospect research for individual donors
  • Provide department-wide administrative and project support and upkeep for department files and supplies
  • Manage gift processing in Tessitura
  • Process weekly donor and institutional funder acknowledgments, and manage donor acknowledgment files
  • Manage the general development email inbox

Desired Skills and Experience:
 
  • Undergraduate degree OR 2+ years of previous work experience in related field (preferably in the performing arts or other non-profit organizations)
  • Excellent written and oral communication skills
  • Ability to communicate with multiple internal/external community members
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Internet applications
  • Experience with Tessitura is a plus though not required

Compensation:

This is a full-time salaried non-exempt position with a minimum annual salary of $45,000. Director of Finance

Position Summary:

Reporting to the Executive Director, the Director of Finance guides Signature’s financial policy and direction while also being an active partner with the senior leadership team in planning the organization’s future strategy and implementing ongoing operations. The Director of Finance will lead all financial administration, business planning, and budgeting. The Director of Finance collaborates closely with peers on the senior leadership team, including the General Manager, Director of Human Resources, Associate Artistic Director, and Directors of Development, Marketing, and Production, as well as the Board Treasurer, and Finance, Investment, and Audit Committees. The Director of Finance directly supervises the Business Manager, and Finance and Human Resources Associate.

Responsibilities:

  • Guide financial decisions by establishing, monitoring, and enforcing internal controls, and operational policies and procedures; make recommendations for increased efficiency and effectiveness
  • Coordinate and direct daily and periodic accounting operations and processes, assuring that financial records and systems are maintained in accordance with Generally Accepted Accounting Principles.
  • Participate in the strategic planning process as an integral member of the senior leadership team through development and use of predictive models and activity-based financial analyses
  • Perform cash flow analysis and planning to ensure availability of funds as needed for the operating entity
  • Develops and implements human resource efforts that effectively communicate and support Signature’s mission and strategic vision.
  • Maximize return and limit risk on cash by managing bank balances, and overseeing investments managed by external investment manager, in conjunction with Board Investment Committee
  • Monitor and confirm financial condition by conducting internal audits
  • Lead communication with external auditors to prepare annual audited financial statements and 990 returns
  • Prepare accurate interim financial statements and special reports for both internal and external use, through collection, analysis, and consolidation of financial data
  • Prepare annual operating and capital budgets and periodic re-forecasts
  • Achieve budget objectives by scheduling expenditures, analyzing variances, and initiating corrective actions
  • Liaise with the Finance Committee and participate in Committee and Board meetings
  • Ensure compliance with federal, state, and local requirements, through research and awareness of existing, new, or anticipated legislation, and liaise with legal counsel to advise management on needed actions or potential impacts
 

Desired Skills and Experience:

Candidates should hold a Bachelor's degree or above in accounting and/or business administration, or possess equivalent business experience, and have five-plus (5+) years’ experience with a major non-profit, operating on an annual budget of at least five million ($5M).

The ideal candidate will have skills in managing processes and analyzing information, developing standards and policies, non-profit accounting, and auditing experience. Preference will be given to candidates with a Certified Public Accountant designation and/or an MBA. Experience with Financial Edge, or other financial software, is required. Familiarity with Tessitura is a plus.

Compensation:

Position Summary:

Responsible for developing and executing human resource strategy in support of the mission and values of Signature by overseeing talent recruitment, hiring and retention, professional development, training, compensation and benefits, and human resource systems and policies, with a primary focus on equity, diversity, inclusion and accessibility across all departments. The Director of Human Resources is also responsible for compliance with governmental regulations, establishing and reviewing organizational human resource and employment policies and provides overall leadership and guidance to support and implement effective short and long-term goals to attain organizational objectives.

The Director of Human Resources reports to the Executive Director and is a member of the senior management team. This position has no direct reports but is supported by the Finance department.

Responsibilities:

  • Oversee and develop Signature Theatre’s comprehensive HR strategy, policies and practices consistent with Signature’s Equity, Diversity, Inclusion and Accessibility (EDIA) goals.
  • Spearhead company-wide EDIA (Equity, Diversity, Inclusion and Accessibility) and anti-racist initiatives in close collaboration with executive leadership and EDIA committee.

Position Summary:

The Finance Assistant is a full-time position, non-exempt position. The role is an integral part of the Finance department and will be supervised by the Business Manager and report to the Director of Finance.

Responsibilities:

  • Analyze invoices and expenses for accuracy and proper coding
  • Prepare and input invoices and expenses for payment
  • Perform daily and monthly reconciliations between ticketing system and credit card processors
  • Send out monthly credit card statements to department heads for reconciliations, follow up with departments about timely reconciliation, and review all reconciliations submitted for completeness and accuracy
  • Review posting reports from Box Office and Development and enter data into the general ledger
  • Perform monthly bank and general ledger account reconciliations
  • Compile testing materials to prepare for annual audit and 990 reporting
 

Desired Skills and Experience:

We welcome applicants who have completed certified coursework in finance and/or accounting; who have earned a university degree; or who possess a combination of education and equivalent related experience. Strong Preference for candidates who possess a Bachelor’s degree in Accounting, Business, or Finance. An interest in non-profit theatre is preferred, but not required. Experience with accounting software, and/or a willingness to learn Financial Edge is a plus. Signature Theatre is an MS Office environment.

General Manager

Position Summary:

The General Manager actively participates on the senior leadership team to guide the strategic planning, organizational development and overall daily operations for this $10+ million institution, with 40+ full time employees and approximately 200 artistic/production related personnel. As part of this team, the General Manager will work with the Artistic Director, other Department Heads, and the Board of Trustees. The General Manager’s direct reports are the Associate General Manager, and Company Manager.

Production related responsibilities include developing and monitoring artistic production budgets; on-site supervision for six to eight annual productions and ancillary artistic programming; supervising company management; leading contract negotiations for authors, all other artistic personnel and any outside producers/partners. The General Manager will also represent Signature in collective bargaining negotiations with several theatrical unions. Building operation responsibilities include overseeing the Pershing Square Signature Center rentals and IT department.

Desired Skills and Experience:

The ideal candidate will want to be a part of a vital institution and possesses the leadership skills to represent the institution both internally and externally: experience in managing staff and interacting with artistic personnel; exceptional communication, written and verbal; excellent negotiating skills; experience in developing project budgets; highly organized with effective time-management skills. We also prefer candidates with a minimum of 4 years theatrical management experience and with non-profit management in their background including direct experience with union regulations and contract negotiations. Experience in managing building operations and space rentals a plus.

Position Summary:

Reporting to the Director of Production, the Production Manager assists the Director of Production in the creation of production budgets for all Signature Theatre shows. The Production Manager is a key member of the production team and will manage special projects as needed, enforce Pershing Square Signature Center safety protocols, and assist the Director of Production in hiring and onboarding of production staff.

  • Assist Director of Production in the creation of Production Budgets for all Signature shows
  • Enforce Pershing Square Signature Center safety protocols

  • Production Manage up to six shows per year
  • Track all department physical and labor budgets, and expenditures
  • Communicate to Supervisors labor budgets for all Signature show
  • Responsible for the coordination of, load-in and strike of all production elements for each Signature show
  • Work with Artistic Line Producer throughout design process to ensure design deadlines and budgets are met
  • Work with Stage Managers to setup for rehearsals and prepare for moving out of rehearsal room and onto the stage for technical rehearsals and performances
  • Schedule production meetings as needed through opening night
  • Maintains and updates production calendars including design deadlines, load in and load out calendars
  • Responsible for working with the designers and supervisors to provide packets for shop bids in consultation with the department heads
  • Coordinate production logistics for all show supplemental programming
  • Approve hourly production payroll and tracking
  • Supervise the production petty cash, credit cards, and reimbursements for all production staff
  • Supervise the petty cash for run crew on Signature shows they are working on
  • Coordinate with Facilities Department production needs for each show. To include but not limited to removal and reset of loose seating HVAC and security needs through opening
  • Work with Artistic and Marketing on production holds through preview process
  • Work with Marketing to execute accessibility needs such as audio described and open caption performances.
  • Hire additional production personnel including, but not limited to:
    • Freelance Production Managers
    • FreelancePropsSupervisors
  • Supervise all production personnel:
    • Direct Reports will be: Technical Director, Props Supervisor, Costume Shop, Manager, Lighting Supervisor, Sound, Video and Communications Supervisor, Assistant Production Manager, and Production Fellows
    • Indirect Supports include freelance carpenters, electricians, sound and video technicians
  • Assist rentals in the planning and execution of rentals in and around Signature Theatres productions
  • Sit in on meetings with other departments to discuss center operations, identify and put in place systems with the goal of increasing efficiencies
  • Assist Director of Production in the implementation and ongoing compliance of new systems and policies as defined by Human Resources, Finance, General Management and Artistic Departments
  • Works with Artistic Department to coordinate workshops and readings as needed
  • Manage special projects as needed

 

Desired Skills and Experience:

We welcome applicants who have experience in theatrical production, stage management, production management or technical direction. Demonstrated personnel and budget management experience is essential. Excellent written and verbal communication skills. The ideal candidate will have the ability to work constructively with artistic and technical collaborators and maintain a positive attitude in a fast-paced environment.
